2026 Tip Reporting: Questions to Ask Gusto, QuickBooks, or ADP

By TipFort Team, Editorial TeamOctober 8, 20267 min read

Ask for a completed example, not a general assurance

“Does your system support the new tip rules?” is a reasonable opening question. It is not enough to confirm that your restaurant is ready. The useful follow-up is: “Show us how one employee's records become the amounts and occupation information on our year-end form.”

Send that request with your payroll product name, account configuration, tax year, and one anonymized example. Gusto, QuickBooks, and ADP each have their own workflows; a capability advertised for one product or plan may not describe yours.

Use the questions below to leave the conversation with named responsibilities, an accepted file layout, a test result, and dates. Keep the answers with your year-end preparation records so a change of bookkeeper does not restart the investigation.

1. Which source amounts feed our 2026 W-2 fields?

The final IRS 2026 W-2 instructions specify TP for total cash tips reported to the employer, TT for qualified overtime compensation, and Box 14b for tipped occupation codes. TS is not a code in those final instructions. The general filing and employee-furnishing deadline for 2026 forms is February 1, 2027.

Ask your provider to identify the source field for each output. Find out whether the amount is calculated from payroll history, entered separately, or supplied through a year-end adjustment. Then ask who reviews the result before filing.

Request a written explanation of how the provider treats annual deduction limits. A personal tax deduction limit must not silently become a ceiling on employer-reported compensation. Save the answer and compare it with a test employee whose annual amount exceeds a deduction threshold.

2. What does our particular payroll product expect?

Use the vendor's current documentation to make the support conversation precise.

ProviderPublished documentation to reviewQuestion for your account
GustoRunning regular payroll distinguishes tips already paid from tips paid in the payroll runWhich fields should receive each amount, and how will they flow into our annual reporting?
QuickBooksPay and report tips provides product-specific setup and separate cash/paycheck tip categoriesWhich instructions apply to our exact payroll product, and what review determines the qualified/nonqualified categories available in our account?
ADPIts federal tips and overtime explanation explains the deduction and overtime distinctionsWhich earnings codes, occupation fields, and year-end review reports implement this in our ADP product?

These pages are starting points, not proof that an external CSV can be imported. Request the current receiving template and any account-specific setup instructions. A support answer should identify the product version or service, not merely the provider's brand.

3. How do we prevent paying the same tips twice?

Bring a payment-status example. In this fictional period, Employee R-104 has $90 in tips already received and $310 in tips still owed through payroll. They also receive $120 in distributed mandatory service charges.

AmountYour preparation recordProvider confirmation needed
$90Tips already paidRecorded for the appropriate payroll treatment without paying the amount again
$310Tips to be paidIncluded in the employee's payment and mapped to the correct earnings field
$120Distributed service-charge wagesKept distinct from voluntary tips

The tips subtotal is $400. The additional payment in this example is $430 before other wages, deductions, and withholding. The table is a reconciliation aid, not an import schema.

The IRS explains that distributed mandatory service charges are non-tip wages in Topic 761. Ask your provider how corrections work when the original POS report mixed these amounts. Do not “fix” the annual file alone if payroll history also needs correction.

4. How is qualified overtime identified and checked?

Ask who determines FLSA coverage, calculates the regular rate, and distinguishes qualifying premium pay from other overtime. Include examples involving a nondiscretionary bonus, multiple rates, and state overtime if those occur in your business.

ADP's August 2026 overtime guidance explains that the qualified amount is the FLSA-required premium. Other overtime is not qualified merely because it appears under an overtime pay code; hours may still qualify where they independently meet FLSA requirements.

A reviewer should be able to work backward from the reported amount to the workweek records. Ask for a sample calculation and an exception report you can review before year-end. If your restaurant uses a tip credit, include that fact explicitly in the example rather than treating the cash wage as the regular rate.

5. What exactly belongs in our handoff package?

Agree on the delivery method before sending employee data. Use the provider's secure channel and minimum required identifiers. TipFort uses only the last four SSN digits; your provider may need to match records to a separate payroll employee ID.

Prepare a package with the tax year or period, employee roster, field definitions, control totals, and an exceptions list. Mark each file as a draft or approved version and identify the preparer. Include a short note stating whether amounts are incremental adjustments or complete replacement totals.

For example, if a prior submission included $400 in tips and the corrected total is $425, “425” could mean either a replacement total or another $425 to add. Confirm the intended operation in writing. That single ambiguity can defeat an otherwise clean file.

TipFort provides Gusto, QuickBooks, ADP, and Generic CSV layouts for a reporting handoff. Have your provider inspect a sample before using the output. Final acceptance may require remapping, its own template, or manual entry.

6. When do corrections close, and who approves the forms?

Your provider's operational cutoff may be earlier than the government deadline. Request separate dates for missing records, adjustments, employer review, filing authorization, and employee delivery. Ask how the process changes if you discover an error after filing.

Assign a person to each unresolved item. “Payroll will handle it” leaves too much room for misunderstanding when a missing occupation description belongs with the restaurant manager and a rejected employee match belongs with the payroll administrator.

Use a small tracker with four columns: issue, owner, evidence required, and due date. Close an issue when the result appears in the reviewed output, not merely when an email has been sent. Retain the approved totals and the provider's acknowledgment together.

Turn the answers into a repeatable payroll process

After the meeting, run one sample through the agreed workflow. Confirm employee matching, payment status, classification, control totals, and handling of corrections. Repeat the review with a departed employee or another exception before relying on the process at year-end.

If your provider covers the complete workflow, document it and use it. If the missing piece is collecting consistent tip and overtime records, contact TipFort with your required fields and an anonymized example. Our free compliance checklist can help organize the preparation work before that conversation.

Frequently Asked Questions

Will a TipFort CSV import directly into Gusto, QuickBooks, or ADP?

Do not assume direct import. TipFort offers named CSV layouts, but your provider must confirm the accepted template, field mapping, employee identifiers, and adjustment process for your particular payroll product.

What should I do if my payroll provider says it already handles tip reporting?

Ask for a sample using your own anonymized workflow, confirm how the source records map to annual fields, and document who reviews and approves the final forms.

What is the most useful first document to send payroll support?

Send a short description of your exact payroll product and one anonymized example separating tips already paid, tips still owed, distributed service charges, and any overtime. Ask for the accepted template and review process before transmitting employee data.
